Booking Terms & Conditions
This page summarises the main points of travelling with Theavy Tours. It's a friendly overview, not a replacement for a full legal contract.
1. Booking & Deposits
Deposit and balance terms are confirmed clearly in your written quotation before payment. The exact deposit may vary depending on hotels, dates, supplier conditions, and the type of arrangement. We always explain what is included, what is separate, and when each payment is due before you confirm. By paying the agreed deposit, you confirm that you are authorised to make the booking on behalf of everyone in your party.
2. Final Payments
Your written quotation states when the balance is due and whether different supplier deadlines apply. Bookings made close to travel may require earlier or full payment. Failure to pay by the confirmed due date may result in cancellation of your trip.
3. Cancellations by You
If you need to cancel, fees generally increase as the departure date approaches. Our standard structure is based on days before departure (for example 60+, 30–59, 15–29, <15 days). Your personalised proposal and invoice will clearly state the exact cancellation terms that apply to your booking.
4. Changes to Your Trip
We'll always do our best to accommodate reasonable changes, but additional costs from hotels, airlines, or activity providers will be passed on to you. Change fees may apply for amendments close to departure.
5. Cancellations by Us
In rare cases we may need to cancel or modify a tour due to events outside our control (for example extreme weather, political events, or safety concerns). If we cancel before departure, you'll normally be offered an alternative date or a refund of payments made to us for the land arrangements.
6. Travel Insurance
Comprehensive travel insurance is strongly recommended. It is your responsibility to ensure your policy covers medical care, cancellations, lost luggage, and any activities you plan to join.
7. Passports & Visas
You are responsible for ensuring that you have a valid passport, visa, and any required travel documents. We're happy to share general guidance but can't take responsibility for denied boarding or entry caused by missing documents.
